SyncReach Solutions Inc. (“SyncReach,” “we,” “us,” or “our”) respects your privacy and is committed to protecting the personal information we handle. This Privacy Policy explains what we collect, why, how we use and safeguard it, and the choices you have.
01 Who this applies to
This policy applies to personal information we collect through our website, our forms, and the course of providing our services to law firms and other clients. “Personal information” means information about an identifiable individual, as defined under PIPEDA. It does not apply to information that is anonymized or aggregated so that it can no longer identify an individual.
As an organization carrying on commercial activities in Canada, we handle personal information in accordance with PIPEDA and applicable provincial law. Ontario does not have a general private-sector privacy statute, so PIPEDA governs our commercial handling of personal information in Ontario.

We collect personal information that you choose to provide and a limited amount that is collected automatically.

- Contact details you submit through our consultation form or by email — such as your name, firm name, email address, and phone number.
- Details about your practice area, your goals, and any message or materials you send us.
- Information you provide while we deliver services, including content, credentials, or access you authorize us to use on your behalf.
Information collected automatically
- Standard technical data such as IP address, browser type, device, referring pages, and pages viewed, gathered through cookies and similar technologies.
- Aggregated usage and analytics data about how our website is used.
03 How we use your information
We use personal information for the purposes for which it was provided and related purposes a reasonable person would consider appropriate, including to:
- Respond to your inquiries and schedule consultations;
- Provide, manage, and improve our services and our website;
- Communicate with you about your project, account, or requests;
- Send marketing communications where you have consented (see Section 05);
- Maintain security, prevent fraud, and comply with legal obligations.
We do not sell your personal information.
04 Consent
We collect, use, and disclose personal information with your consent, except where the law permits or requires otherwise. Consent may be express (for example, submitting a form or opting in to emails) or implied by your actions and the context. You may withdraw your consent at any time, subject to legal or contractual restrictions and reasonable notice, by contacting us using the details in Section 14. Withdrawing consent may affect our ability to provide certain services.
05 Email & SMS communications (CASL)
If we send you commercial electronic messages — including marketing emails or text messages — we do so in accordance with Canada’s Anti-Spam Legislation (CASL). That means we obtain consent where required, identify ourselves, and include a working unsubscribe mechanism in every commercial message. You can opt out of marketing messages at any time by using the unsubscribe link, replying STOP to a text, or contacting us directly. We may still send you non-commercial, transactional, or service-related messages.
06 Cookies & analytics
Our website may use cookies and similar technologies to operate the site, remember preferences, and understand usage through analytics. You can control cookies through your browser settings; disabling them may affect how the site functions. Where we use third-party analytics, those providers process technical data on our behalf under their own terms.
07 Sharing & service providers
We share personal information only as needed to operate and deliver our services, including with:
- Service providers who process information on our behalf — such as website hosting, form delivery, email/SMS platforms, scheduling, analytics, and payment processors — under agreements requiring appropriate safeguards;
- Professional advisors such as our lawyers and accountants, where reasonably required;
- Authorities or third parties where required or permitted by law, or to protect our rights, safety, or property;
- A successor in connection with a business transaction such as a merger, financing, or sale of assets, subject to confidentiality.
08 Storage & cross-border transfers
Some of our service providers may store or process personal information outside Canada, including in the United States. When information is handled in another jurisdiction, it is subject to the laws of that jurisdiction, and may be accessible to courts, law enforcement, and authorities there. We take reasonable steps to ensure our providers maintain comparable protection. By providing your information, you acknowledge it may be processed outside your province or country.
09 Safeguards
We protect personal information with safeguards appropriate to its sensitivity, including administrative, technical, and physical measures intended to guard against loss, theft, and unauthorized access, use, or disclosure. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.
10 Retention
We keep personal information only as long as necessary to fulfil the purposes for which it was collected, to provide our services, and to meet legal, tax, and accounting requirements. When information is no longer needed, we take reasonable steps to securely delete or anonymize it.
11 Your rights
Subject to limited exceptions under PIPEDA, you may:
- Request access to the personal information we hold about you;
- Ask us to correct information that is inaccurate or incomplete;
- Withdraw consent or ask us to stop using your information for marketing.
To exercise these rights, contact us using the details in Section 14. We will respond within the timeframes required by law and may need to verify your identity before acting on a request.
12 Children’s privacy
Our website and services are directed to businesses and professionals, not to children. We do not knowingly collect personal information from children. If you believe a child has provided us information, please contact us and we will take appropriate steps to delete it.
13 Changes to this policy
We may update this policy from time to time. The “Last updated” date at the top reflects the latest version. Material changes will be posted on this page, and where appropriate we will provide additional notice. Your continued use of our website or services after an update means you accept the revised policy.
